Committee Meeting

Present: Jeremy Webb, Bridget Oates, Lorna Sherwood, Kev Theaker, Gregor MacQuarrie, Russel Cathcart, Maurice Cathcart, Carol, Brian.

Access to Club Kit
Is all the kit in the store?


 It was agreed that the kit amnesty worked well with a lot of kit returned but Neil (the bosun) pointed out that there is no current list of what should be in the store.

Neil agreed to do an inventory - see post on forum for volunteers to help.
How do we keep track of who has what?

A number of options were discussed from a simple sign out sheet (would people use it) to an online system similar to that used by the Inverness club.

It was agreed that there should be a system online to record kit kept for more than a day (ie. when it’s too late to return it). Jez.
How do we access kit in the store?

While access to the boats is easy enough it was felt that the system of only committee members holding keys was not working as it made it too difficult to get kit at short notice.

It was agreed to try a combination key safe within the kayak store which would make the key accessible to all club members as they could be given the access number. Jez.
How is the kit insured?

Gregor can continue with enquiries into this once the inventory is complete.

Safety of Trips
Responsibility of the club


 This topic was brought up as Jez explained that if members borrow club kit for trips this legally puts some responsibility on the club for the safety of those trips (be they organised club trips or not).

 It was agreed there needs to be some system in place to assess the competency of people borrowing kit for the level of water they aim to use it in. It was pointed out that the most competent paddler in the group has an legal obligation to be aware of the safety of the group.

 A written disclaimer was agreed to be worth nothing legally. Some kind of competency test was discussed - 2 star training would be possible with some more canoes but it was unclear how useful this would be and if everyone could/would do the course.

 The agreed solution was to have a written in process when borrowing kit that the purpose must be discussed over the phone with a more competent kayaker. If this is not done then the borrowing of the kit is not sanctioned by the club. The use of a code on the door should also mean only club members can borrow the kit.

Training
A number of options were suggested as training for the upcoming year


Previous beginners
 - need more water!
 - qualifications to aim for would be motivating for kids, as well as adults, consider running a 2 star assessment after some canoe practice
 - it might be time to run the Doon again as a refresher session after the dry summer
 - organise a step up from the Doon for those that are ready - maybe the Awe 
 Previous leaders to get together and organise follow up sessions when it rains Jez

 More experienced members
 - repeat the river leaders course again 
 - foundation safety and rescue course (necessary for those wishing to do any coaching) Neil
 - training programme for winter Jez


Pool Sessions
Citadel code of conduct 


 - Kev to check this. This is essentially what we do. There is no limit to numbers in the pool.

It was agreed that we need formalise some of the training going on in the pool - and plan it in advance. 

 - Alan does an excellent job in the dive pool
 - plan a session with sea boats in the pool
 - have a white water safety and rescue session
- need to add some structure to rolling courses
It was agreed that for the sake of the citadel staff and new people in the pool we need to identify a responsible person at each pool session. The best way to do this is with a coloured vest. Russell

Potential trips
- Teeside - the course is closed at the moment
- Highland trip - potentially to the Roy? George to organise?
- Surf trip - Jez to organise
- Other suggestions welcome

South Ayrshire Sports Council
Carol asked if we would like to be affiliated with this. It could potentially bring some help with coaching. She agreed to send the form to Bridget.
